For motoring events, the application provides management of the motoring event from patron application through event registration, creating and assigning groups and judges, and the creation and issuing of awards. Event-Roadster is a comprehensive, data-driven web application designed to simplify the management of Motoring Events. from event and subevent organization to participant registration, sales, awards, and judge coordination, our user-friendly platform handles it all.
EVENT-ROADSTER can support almost any type of event, paid, free, single event, festival with multiple event, at one or several sites, individual and package tickets. Ticket services include inventory management, on-hold, waitlists, transfers, full and partial refunds and seamless processing through PayPal and Stripe.
Many events have an application process that has the patron provide information on themselves, or their car, or perhaps their band. EVENT-ROADSTER provides a staff reviews process with configurable system generated immediate email communications with the patrons.
EVENT-ROADSTER enables to you enter data that can be used anytime for any event. Enter data once and use the easy Drag & Drop feature to place the data into your current event. Patron data entered for one event or for one year is easily recalled by the patron for quick and easy registration.
EVENT-ROADSTER, originally designed to support car shows, can provide end-to-end management of the patron applications, including staff review, requests for additional information, status and approval, placing cars into judging classes, assignment of judges & awards, plus creating Judges Packets as well a Placards.
One of the most difficult parts of event management is control of the data and communications between the staff and with the patrons. Event-Roadster enables events to have judges and awards. Awards can be set to specific groups or classes, can be to multiple awardees or limited to one awardee, or one per class. Judges can be assigned to individual car classes, be designated as coordinators, lead judges and class judges.
For the past 14 years, I have been involved in the HMF, serving as its chairman for six years, and continuing an active role on the Executive Committee. During this time, HMF has grown from a small-town car show to a nationally recognized “Concours Level” festival of classics. In recent years, we have generated six-figure donations to our charities from the festival profits. Our all-volunteer festival is incredibly complex with seven driving tours, two car shows, a Main Street parade, and a fancy Gala.
For many years, we used spreadsheets and PayPal reports to track revenue, manage event registrations, judging, awards, car selection, transporter parking, and group communications with registrants. This method was time-consuming, frustrating for our volunteers, and very fragmented.
Over the past two years, we have integrated these functions into the Event-Roadster program. Much of this involved customized features, developed on the run, as we found ways to make greater use of the information gathered. The Event-Roadster development team was responsive and clever with solutions. The system is a ready source of accurate information for our team of 20+ volunteers who are handling 525 users. Volunteers can self-train with the tutorial sessions. The screens and commands are intuitive.
The HMF planning committee is very satisfied with the Event-Roadster product and team. We expect to expand its usage as our event continues to grow.
